Generally, a distinction is made between the following booking types in the "Orders" section:

  • Inquiries - non-binding appointment request which leads to a binding booking upon confirmation by you as the provider
  • Orders -  binding booking of an appointment or voucher
  • Vouchers - Vouchers can later be redeemed directly for an experience and thus function like a payment method or cash.
  • Promotional vouchers - Campaign vouchers are valid as often as desired within the campaign period and can be created for newsletter campaigns or seasonal discounts ("Christmas voucher"), for example. Either with fixed absolute amounts or a percentage discount.

Orders

For experiences that you have defined as "Online bookable" under "Experiences", your end customers can make a binding booking directly via your website. The dates and times available for this are based on the date definition you have chosen.

In the left column you will find all active orders in a list view. If an order is selected for a detailed view by clicking on it, information about the booked experience, date, order status, contact details of the person booking, selected payment method, channel and any comments on the order will appear. In addition, you can filter the view at the top of the screen, e.g. into active or inactive orders & reservations, payment status or channel.

Cancel

To cancel a booking, simply click on the corresponding button. In the next step you can then decide whether you want to make a refund or not. Of course you can also decide whether the refund should be monetary or by voucher. You can also determine the amount of the refund.

Tip: Within a booking you can also cancel individual participants within a service by clicking on the red "X" without having to cancel the entire order. The above mentioned refund options are also available here.

Rebooking

If the end customer wants to rebook his generated booking, you can change the date using this function.

In general, you should always note the following when rebooking orders:

a) You would like to postpone a booking with all participants included?

Use the following way:

  • "Orders"
  • Call up the relevant order

b) You would like to move an appointment with all the associated orders:

Use the following way:

"calendar"
Call up the relevant appointment

  • "Kalender"
  • Call up the relevant appointment

In both cases, your end customer will be automatically informed by the system about the new date via email.
